Large Monterey Car Week groups need more than enough beds. Executive hierarchy, Pebble Beach access, vehicles, client entertaining and multiple residences must work as one system.

This is a structuring problem, not a property search

Housing fifteen to forty people on the Monterey Peninsula during Car Week is a different exercise from finding a good house. At that scale the requirement is a system: who sits where, which functions happen in which building, how vehicles move, and how the whole arrangement survives a schedule that changes daily.

Groups that begin with property listings usually end up retro-fitting people into rooms. Groups that begin with people, roles and commitments end up with a smaller, better-organised set of properties and far fewer problems on the ground.

The fixed points to build around

For 2027, the official Pebble Beach anchors are the Concours d'Elegance on Sunday 15 August, the Pebble Beach Auctions from 11 to 14 August, the Tour d'Elegance on 12 August and Concours Village from 12 to 15 August. Under official arrangements, 17-Mile Drive is closed to non-Concours traffic from 12 to 15 August.

That closure period is the structural constraint for large groups. Any plan that assumes casual vehicle movement through the Del Monte Forest during those four days needs revisiting before it is presented internally.

This structure works because it matches property type to function. Trying to make one enormous house perform all three roles usually produces uneven bedrooms, an overloaded kitchen and a driveway that cannot cope.

Build a bedroom matrix before you view anything

For corporate groups, room allocation is a political exercise as much as a logistical one. Producing a matrix in advance removes the awkwardness later.

  • List every guest by name and seniority, not by headcount.
  • Identify how many need genuinely equivalent senior rooms.
  • Note who requires single occupancy and who is travelling with a partner.
  • Flag anyone who needs ground-floor access or separation for work calls.
  • Record who arrives early, who leaves early and who joins mid-week.

A house with twelve bedrooms and four of executive standard will not house eight executives, whatever the listing says.

Two different vehicle problems

Large delegations usually have both collector or display vehicles and a chauffeur fleet, and the two need separating physically. Collector cars want enclosed, secure storage with controlled access and no routine traffic past them. Chauffeur vehicles want space to stand, turn and depart repeatedly without blocking anything.

Where the group is large, one property often becomes the transport headquarters: the place drivers assemble, vehicles are staged and movements are coordinated. That role should be assigned deliberately, usually to a supporting residence with good access rather than to the principal house.

Placing the layers geographically

Pebble Beach suits principals whose week centres on the Concours, the auctions and Concours Village, particularly given the 17-Mile Drive arrangements. Carmel suits mixed executive use, where guests want dining, walkability and a residential setting. Monterey and the adjacent communities suit operational staff and drivers, where flexibility and hotel availability matter more than atmosphere.

Keeping the layers within a sensible radius of each other matters more than any individual address. Guests will move between houses for dinners and briefings, and every additional minute is multiplied by the number of movements across the week.

Breakfast is the most useful hour of the day

For corporate delegations, breakfast at the principal residence is typically where the day is set: who is attending what, which client is being met, what the evening looks like. A house that can seat the senior group together, feed them early and let them leave on time is worth more than one with a better view.

Catering, private chefs, housekeeping and security can be coordinated alongside the residences where required, and at this scale they usually should be.

Arrival day, and never moving house

Two operational rules save more trouble than any other. First, plan arrival day explicitly: staggered flights, collection sequencing, key handover and a briefing document issued before anyone lands. Second, do not move guests between houses mid-week. It is always considered as a way to solve an availability gap and it always costs more goodwill than it saves.

Maintain a single master accommodation document covering guests, rooms, addresses, drivers, contacts and daily commitments, with one named owner. At forty people, informal coordination fails quietly and then suddenly.
